I, __________________, understand that the Company vehicle that has been assigned to me for business purposes has a GPS tracking system. I understand that the company’s vehicle, which is to be used for _________ business only, will be tracked for business purposes. By accepting the use of the Company’s car, I am agreeing to the following terms (failure to follow the company’s vehicle use policies will result in disciplinary action up to and including termination): • I am aware that the use of the company vehicle is to be used for business purposes only; • Furthermore I will reimburse the company for any misuse of the company vehicle for personal reasons at the current federal mileage reimbursement rate for each mile that is non business ($0.445); • Personal use of the company gas card is not allowed and will be viewed as stealing; • Tampering of the GPS system is against company policy; • The company car policy is to be adhered to in all eventualities.
Usage of Company Vehicles: Each employee is personally responsible for any fines incurred as a result of driving or parking violations, as well as, any damage to the company vehicle resulting from the employee’s own negligence. Each employee will also be responsible for reporting any problems that the vehicle may have, mechanical or otherwise, that could create unsafe conditions for themselves or another person.
Company Car Policy: • Where the company has chosen to provide automobiles, for non-director, non-officer, non-shareholder employees, for Company business trips, the following procedure will apply: • When _____________ requires the employee controlling a company car to commute to and from work, the company car may be stored at the employee’s place of residence for safekeeping. In these circumstances, there shall be no personal use of the automobile except for commuting. • Note: According to Internal Revenue Service (IRS) regulations, the personal use of a company vehicle is a taxable fringe benefit provided by the Company and as such is includible in the taxable gross income of the employee. The IRS regulations further state that commuting to and from work is considered to be personal usage. The value of this fringe benefit has been determined to be $ 1.50 per one-way commute [$3.00 per day]. This amount will be included in the gross income reflected on the annual Form W-2. Related taxes will be deducted from the employee’s paycheck and will be included in total taxes withheld shown on the annual Form W-2.
